Improving documentation for maintenance with DEYA TECH

DEYA TECH’s flagship product HOLA is a web-based collaborative document, business process and knowledge management software. This application is designed to help organizations become more effective in the way their people collaboratively produce, edit, store, secure and reuse organizational documents and knowledge.
DEYA TECH and Siveco China started working together in 2012 for the customer Fushun Mining Group (this month’s Customer Story), where Siveco delivered HOLA as part of its contract to implement an integrated Maintenance Management System. Based on this first successful experience, the companies have extended their partnership.
First joint project
In the middle of 2012, Siveco was selected to conduct the CMMS (Computerized Maintenance Management System) project for the new ATP oil shale retorting plant is subsidiary to the large Chinese state-owned coal mining and oil shale company, Fushun Mining Group.
In addition to the maintenance management itself, the customer also required a document management system, as part of the project scope. To complement the existing CMMS functionality, Siveco selected DEYA TECH and its HOLA product.

Thanks to this first project together, DEYA TECH and Siveco have launched a comprehensive cooperation based on their respective partnership programs.
Why did Siveco choose HOLA?
Siveco has extensive experience integrating its maintenance management solutions with third-party document management systems, especially in greenfield projects where a complete plant database has to be built.
Siveco chose HOLA because the product offered all functionalities required for plant documentation, with much lower cost of ownership and faster implementation time. Furthermore, DEYA TECH offers bilingual support in China and has developed a very significant business with Chinese EPC (Engineering Procurement & Construction) companies, a key Siveco target market.
Document management for maintenance
Close to 80% of mission critical business content still resides in unstructured data, such as images, paper-based documents, forms, reports, e-mail and more. HOLA is the means to impart structure, organization, and accessibility to this knowledge base.
Much more than a simple version control tool with document check-in/check-out capabilities, HOLA enables collaborative production and management of documents: HOLA puts organizations in control of their knowledge.
Thanks to the integration with the Siveco solutions (COSWIN or bluebee® cloud), document linked to plant objects, equipments, parts, work orders and so on are made available directly to the end-user in the CMMS.

Lower Total Cost of Ownership (TCO)
HOLA solution has been designed with a lower TCO – HOLA requires Zero license fees for software infrastructure (such as Databases, Application Servers, etc.). In addition it needs very low investment in hardware infrastructure compared to other solutions in the market place.
Time to deployment
Unlike most software companies that are long on promises and short on execution, HOLA virtually guarantees that a typical enterprise installation for a small business can be completed by our professional services team member, working remotely, within 3-4 hours. This may appear revolutionary in an environment where typical enterprise class solutions are known to take days, weeks and even months to get up and running. HOLA offers the speed and agility of an Application Services Provider (ASP) solution and yet minimizes the concerns associated with ASP’s – lack of ownership of information, security, scalability, viability of vendors etc.
CMMS integration
Like Siveco products, HOLA is accessible with a Web Browser. The interface between the two systems is built with SOAP/XML technology, to ensure seamless integration and smooth interchange of information. It is totally transparent to end-users, who simply open documents from the CMMS. Users’ login can be unified using the LDAP repository, such as Active Directory: administrators only have to manage one user-base, users can login to HOLA and the CMMS with their familiar network login name and password.
In addition, HOLA integrates with Windows Web Folders (“WebDAV client”), meaning users can manage work spaces, folders and documents from Windows Explorer. They can even create/edit a document in Microsoft Word and save it directly into HOLA. HOLA also sends email notifications direct to your inbox, just like the CMMS.
Scalability
HOLA architecture is multi-tiered and has been designed for massive scalability – this architecture allows the solution to be scaled up to support thousands of concurrent users without impacting performance. The architecture allows for both horizontal and vertical scaling options to support the growing demands of the enterprise over a period of time. All data elements are XML enabled to ensure API-driven data interchanges and integration with other applications.
